How it works

This is where you keep the official record of who actually came to the session, add notes about members and write the session's lesson.

It opens when you click a session in Sessions or Sign-ups, or with the Mark attendance button in the calendar (there it opens on top of the calendar, so you don't leave it). At the top are the session name, date and time, the Open in calendar button (when the panel was opened from the calendar, View on attendance page takes its place) and, if you have the View lessons permission, the Attendance and Lesson tabs.

On the Attendance tab, right at the top and only for a session with an attendance limit, is a line with the spots filled. Below it is the official record: counters and a list of everyone on the session, each with here and not-here buttons. Next to the buttons of a member who replied to the session invite there is a small icon with their reply. It is for information only and doesn't record attendance.

Every mark saves immediately, there is no Save button. Close the panel with the X button, Escape or by clicking outside it.

Good to know

The list holds the active members of the session's groups (or only the chosen members if the session is for specific people). If the session has no group, the list is the whole school.

If your access is limited to your groups, you only see members from them.

While the Lesson tab has unsaved text, clicking outside doesn't close the panel.

On this screen

Panel header

The session's name, date and time, a close button and a link to the calendar.

Shows which session you're marking and gives you a way to the calendar.

The date and time are for this particular session. If the time was changed in the calendar, the changed time is shown.

Close button (X)

Close Editing

Closes the panel.

Returns you to the view you opened the session from.

Attendance marks are already saved, so nothing is lost. Unsaved lesson text, however, is lost. The Escape key does the same.

Open in calendar button

Opens the session in the school calendar.

Takes you where the session itself is managed.

The session's time, audience, recurrence, cancelling and deleting are changed in the calendar, not in this panel. It is shown when the panel was opened from the Attendance page.

View on attendance page button

Shown instead of Open in calendar when the panel was opened from the calendar.

Takes you to the same session in the sessions list on the Attendance page.

The page opens on the Sessions view, and the session is found, scrolled into view and briefly highlighted. The panel does not open again.

Attendance and Lesson tabs

Switch between recording attendance and the session's lesson.

Keeps a session's attendance and lesson in one panel.

The tabs only show if you have the View lessons permission; without it you only see attendance. Each time you open a different session the panel starts on Attendance.

Attendance tab

Sign-ups and attendance marking.

Where you record who came.

It opens by default.

Lesson tab

The session's write-up and materials.

Lets you write and publish what you covered in the session.

A dot next to the name shows there is a lesson: green, published, grey, draft. See Session lesson.

Spots filled

The line at the top of the Attendance tab showing how many spots are taken.

Gives you a reference for how many spots are left before you record actual attendance.

The spots line only appears for sessions with an attendance limit. There are no overall reply totals in this panel: each member's reply is shown next to their name in the list, see the "Said they're coming" and "Said they're not coming" icons. The overall picture of replies is the Sign-ups view of the page. This is for information only, it can't be edited here and isn't recorded attendance.

Spots filled

{{going}} of {{capacity}} spots filled

How many of the session's spots are taken.

Shows whether there are spots left.

It only appears for sessions with an attendance limit. Next to it reads Full if sign-ups have reached the limit, or how many spots are left.

Attendance section

The official record of who actually attended.

Where you mark each session member's attendance.

From top to bottom: the Finalize attendance button (only for sessions that count toward packs), the counters, the Mark everyone attended button and the member list.

Here, Not here and Unmarked counters

Three coloured boxes with the number present, absent and not yet marked.

Green is Here, red Not here, grey Unmarked. They update after every mark.

Member list

Everyone on the session, one per row.

Where you mark individually who came.

Members are sorted by first name. Children are marked (Child). If the session has an attendance limit, members who didn't confirm are tucked under N haven't confirmed.

✓ Here button

Marks the member as attended.

Records that the member was at the session.

The button turns green when the member is marked here. A spinner shows while it saves. On a session that counts toward packs, the mark uses a credit. See Marking one member.

✕ Not here button

Marks the member as absent.

Records that the member wasn't at the session.

The button turns red when the member is marked not here. If they were marked here before on a session that counts toward packs, their credit is given back.

Member notes button

Opens the notes about this member.

Lets you read or add a note about the member without leaving the session.

The sticky-note button is coloured with a dot when the member already has notes. It opens the Member notes panel. See Member notes.

(Child) label

Shows the row is for a member's child.

Tells the child apart from the parent's account.

Each child in the group has their own row and is marked separately.

N haven't confirmed toggle

{{count}} haven't confirmed

Shows or hides members who didn't confirm they're coming.

Keeps the list short when the session has limited spots.

It only appears for sessions with an attendance limit. It holds members who declined or didn't reply. Press it to show them, you can mark them like everyone else.

Green <Q>Said they're coming<Q> icon

Shows the member answered <Q>Attending<Q> to the session invite.

Reminds you whom you expected while you record who actually came.

The calendar-with-a-tick icon sits before the ✓ and ✕ buttons. The text appears on hover, keyboard focus or touch. For information only: it doesn't record attendance and doesn't change ✓ and ✕.

Red <Q>Said they're not coming<Q> icon

Shows the member answered <Q>Not Attending<Q> to the session invite.

Reminds you the member said beforehand that they wouldn't come.

The calendar-with-a-cross icon sits before the ✓ and ✕ buttons. For information only: if the member came after all, mark them with ✓. Members who haven't replied have no icon.

Empty list message

No members in this organization

Shown when the session has no members to mark.

Tells you there's nobody to mark.

Despite the wording, it refers to this session: its groups have no active members or you don't have access to them. Add members to the group or check the session's audience in the calendar.

Frequently asked questions

Do I need to press Save after marking?

No. Each mark is saved the moment you press the button.

Why is a member with the "Said they're coming" icon marked as absent?

The icon only shows what the member said beforehand. Attendance is what you record with ✓ and ✕. They often differ: someone signs up and doesn't come, someone else comes without signing up.
