Finalizing and reopening attendance

How to finalize attendance for a session that counts toward packs, what it locks, and how to reopen it.

Step by step

    Mark everyone's attendance for the session.

    Press Finalize attendance.

    To fix something later, press Reopen attendance, change the mark and finalize again.

How it works

Finalizing marks a session's attendance as final: it locks the marks in the panel and makes sure everyone marked here has had a credit used. Reopen attendance removes the lock so you can fix something.

The Finalize attendance button only shows for sessions with Counts toward packs turned on. Other sessions have no finalizing and their marks can always be changed.

After finalizing:

  • the button becomes Reopen attendance with a padlock, with Closed <date> below it;
  • the ✓ and ✕ buttons and Mark everyone attended in the panel turn grey with the hint 'Attendance is finalized, reopen it to make changes';
  • anyone marked here whose credit hadn't been used yet has a credit used.

Reopen attendance only unlocks the marks, it doesn't give back or use credits. Credits only change when you change a mark.

Both actions need the Manage attendance permission. Pressing again changes nothing.

Good to know

Finalizing can be undone, no need to be wary of pressing it.

The lock applies to the session panel. Marks are also made separately from the Grid.

Finalizes and locks the session's attendance.

Confirms the marks are final.

It sits at the top of the Attendance section. Below it reads 'Finalizing uses one pack credit for each member marked attended.' On success you see 'Attendance finalized.'; on failure 'Couldn't finalize attendance. Try again.'

Reopen attendance button

Unlocks finalized attendance.

Lets you fix marks after finalizing.

It shows with a padlock in place of Finalize attendance. On success you see 'Attendance reopened.'; on failure 'Couldn't reopen attendance. Try again.'

Shows the session is finalized and since when.

It appears below Reopen attendance. The date is from the first finalizing since the last reopen.

Appears when you hover a grey ✓ or ✕ button on a finalized session.

Explains why you can't change the mark.

Press Reopen attendance at the top of the Attendance section to edit.

Frequently asked questions

Why don't I see a Finalize attendance button?

The button is only for sessions that count toward packs. Check that **Counts toward packs** is on for the session in the calendar.

Are credits returned if I reopen attendance?

No. A credit is only returned if you change the member's mark from **Here** to **Not here**.
