Ask Classy

Step by step

  1. 1

Press a row in the user list.

  2. 2

Review or change the details in the panel.

  3. 3

Press Save Changes if you changed groups.

How it works

Gives you everything important about one person in one place: how to reach them, which groups they're in, their kids, whether they've accepted the contract, how they attend sessions and what they owe. It lets you change their groups, write a note, and issue a charge or add a payment.

It opens at the side when you press a row in the user list, or when you follow a link to a person from elsewhere in the dashboard (for example their name on a group page). The panel works in two modes: for an adult (parent or individual) and for a kid. From a parent you can go to each child and back.

From top to bottom the panel holds: contact details, the contract, notes, assigned groups, kids, attendance and payments.

Group changes aren't saved straight away, you mark them and press Save Changes. If you close the panel with unsaved changes, you're asked to confirm first.

What you see depends on your permissions: without Manage members the groups are read-only, without View member contact details there's no phone or email, the notes section needs Author notes, seeing what someone owes and has paid needs View financials, and the charge button needs Manage charges. If your access is limited to certain groups, attendance and payments only include the sessions and charges of those groups.

Good to know

Close the panel with the X, the Esc key, or by clicking outside it. While the notes panel is open on top, Esc closes only that one.

If you remove a person from all their groups and save, they leave the school entirely.

On this screen

Profile header

The person's picture, name and type.

Shows whose profile it is and links to their full page.

Below the name it reads Kid, Parent (an adult with children) or Individual. Pressing the name opens their profile page, except for a member without an account, who instead has the "No app account" icon by their name. The X button closes the panel.

Back to parent and Back to child buttons

Take you between the parent's and the child's profile.

Lets you move around one family without closing the panel.

Back to parent appears when you opened a child from the Kids section. Back to child appears when you went from a child to their parent. Switching drops any unsaved group changes.

Contact info section

The account holder's phone, email and date of birth.

Gives you a quick way to reach the person.

Press the phone or email to copy it, it reads Copied! for 2 seconds. A missing value shows a dash. If the date of birth is known, it shows with their age.

The section only appears with the View member contact details permission, and only on the adult's profile, phone and email belong to the parent, not the child.

Personal details section

A child's date of birth, age, school and additional information.

Shows the key details of a child (or an adult's date of birth if you can't see their contact info).

On a kid's profile it shows whatever has been filled in: Date of Birth with the age (or "Not provided" if only the age is known), Education Institution and Additional information. Date of birth and school are optional for kids, so they can be missing. Additional information is the text (up to 200 characters) the parent wrote about the child, for example allergies or who picks them up. You can only read it, it can't be changed from here. On an adult's profile the section only appears if you lack the contact permission, their date of birth is then shown here. With no details at all, the section is hidden.

Contract section

Whether the member accepted the school's contract, and which version.

Lets you check who hasn't accepted the current contract yet.

Only on the adult's profile, and only if the school has uploaded a contract. It shows the date and time of acceptance and "Accepted version …", or "Not accepted" and "Current version …". The badge is:

  • Up to date: the current version was accepted;
  • Version … pending: an older version was accepted;
  • Missing: never accepted.

Parent card

The parent of the open child.

Takes you to the parent's profile, where contact details and the contract are.

Only on a kid's profile. Press the name to switch to the parent.

Notes section

The way into the team's notes about the person whose profile is open.

Lets you read and add notes about the person without leaving their profile.

It shows with the Author notes permission. The notes belong to whoever is on screen: the parent or, on a kid's profile, the kid. Press Member notes to open the notes panel. Under the button it says how many notes there already are ("1 note", "3 notes") or "No notes yet". How notes are written and shared is covered in the separate article on member notes.

Member notes button

Opens the notes panel for this person.

Takes you to all the notes about the person and the box for a new one.

The panel opens on top of the profile. While it's open, Esc closes only the panel, not the profile beneath it. On a kid's profile the notes are the kid's, not the parent's.

Assigned groups section

The person's groups, with the option to remove them.

Lets you take the person out of a group.

Press a group to mark it for removal, it gets struck through; press again to undo. Newly added groups can also be removed by pressing them. The hint reads "Groups marked with a strike-through will be removed upon saving." With no groups there's a dash.

Without the Manage members permission the groups are read-only.

On saving, the person is notified that they were added to or removed from a group.

Add to group field

Adds the person to another group.

Enrols the member (or child) into one of the school's groups.

Pick a group from Choose a group…; it appears under Assigned groups and is saved with Save Changes. Groups they're already in aren't listed. If the search finds nothing: "No matching groups". If the person was in that group before, their enrolment is restored.

Kids section

All of the parent's children, including those not enrolled.

Shows the family and takes you to each child's profile.

Shown on the profile of an adult who has children. Each child shows their name, age and date of birth (when entered), school and groups (or "No groups assigned"). Press a child to open their profile, from there you can enrol them in a group. Unsaved changes to the parent's groups are dropped.

Attendance section

How often the person comes and their latest sessions.

Shows how the person attends sessions, so you can spot who is often absent.

Every staff member can see it, no separate permission. It shows an attendance percentage over all marked sessions ("80% attendance") and how many times they attended and were absent, then Recent classes: up to 8 sessions with title, date, time and an Attended or Absent tag. A small icon shows what the person had answered beforehand: "Had said they would come" or "Had said they wouldn't come". It only includes the sessions of groups you have access to. With no attendance marked yet it says "No attendance marked yet."

Payments section

What the person owes and has paid, plus the charge and payment buttons.

Shows the money of the person on screen at a glance, without opening Finance.

It sits at the bottom of the panel. With the View financials permission you see, read-only:

  • a tag "Owes …" (with "overdue" if a charge is late) or "Nothing owed";
  • To pay: up to three unpaid charges with their due date, and "+ N more charges" for the rest;
  • Recent payments: up to five completed payments with date and method.

Marking a charge as paid is not done here, but on the charge itself in Finance. Under the overview are the Issue charge and Add payment buttons, and the All charges link opens the charges in Finance, already searched for the person's name. If your access is limited to certain groups, you only see the charges and payments of those groups.

If you don't see the section, you have neither the View financials permission nor Manage charges (with at least one group for the person).

For field in payments

Who a charge or payment is for: the parent or one of the kids.

Decides who in the family owes the charge or made the payment.

It only shows on the profile of an adult who has kids. It starts on the person whose profile you are viewing. On a kid's profile there is no such field, the buttons are always for that kid.

Issue charge button

Opens the new-charge form for this person.

Requests payment from the person: they see the charge under their charges and can pay it later.

It shows in the Payments section with the Manage charges permission and when the person is in at least one group. It opens the same new-charge form as in Finance, already aimed at this person: it says "For: …" at the top and you don't pick other users. The fields are described in the article on the new charge. If the family has kids, you choose in the For field above the buttons whether the charge is for the parent or one of the kids; on a kid's profile it is locked to that kid.

For a payment you have already received, use Add payment, not a new charge.

Add payment button

Opens the form for recording a payment received in cash or by bank transfer.

Logs a payment made in person or outside the platform.

It shows in the Payments section when the person is in at least one group and you have both Manage charges and Record payments, because recording creates a paid charge. It opens the same form as for a new charge, but with "Already paid" switched on and aimed at this person. The fields are described in the article on adding a payment. If the family has kids, you choose in the For field who paid.

All charges link

Opens Finance with the charges searched for this person's name.

Takes you to the person's full list of charges.

It shows with the View financials permission. It opens the charges tab with the search already filled in with the name, showing all charges, not just unpaid ones.

Cancel and Save Changes buttons

Save or discard the group changes.

Confirm the changes made in the panel.

Save Changes is only active when there are changes. Cancel closes the panel (or, if you opened a child from the parent, takes you back to the parent).

If your changes leave the person in no group at all, a warning appears above the buttons, "Saving with no groups assigned will remove this member from the organisation entirely.": and the button turns orange.

"Cancel pending charges too?" prompt

Asks what happens to unpaid charges when you remove someone from a group.

Lets you decide whether the person still owes for the group they're leaving.

It appears on Save Changes if you're removing at least one group and have the Manage charges permission. Without that permission changes save straight away and charges stay.

  • Remove and cancel charges: cancels every unpaid charge for those groups.
  • Remove, keep charges: the charges stay owed.
  • Back: returns to the panel without saving.

Paid charges are not affected.

"Discard unsaved changes?" prompt

Stops you losing changes by closing the panel.

Prevents closing by accident with unsaved changes.

Appears if you close the panel with the X, Esc or a click outside while there are unsaved changes. Keep editing takes you back; Discard changes closes the panel without saving.

Frequently asked questions
