Employee permissions

What each permission allows, how permissions are grouped into three areas, and how to switch them on.

Ask Classy

Step by step

  1. 1

Open the employee's profile or the invite window.

  2. 2

Switch a whole area on or off with its switch.

  3. 3

For partial access, press Customise and flip single permissions.

  4. 4

Press Save Changes (or Generate Link for an invite).

How it works

Lets the owner give each employee exactly the access they need, for example a coach who takes attendance but can't see the finances.

Permissions are chosen when creating an invite link and changed on the employee's profile under What they can do. Only the owner can change them; the owner always has every permission.

Permissions fall into three areas: Classes & members, Payments and Organisation settings. Each area has:

  • a switch that grants or removes everything in it at once;
  • a status line, Full access, No access or "3 of 9";
  • Customise / Hide, which shows the single permissions, each with its own switch.

Permissions work together with Access to groups: an employee limited to their own groups can only use their permissions there.

Good to know

An employee with no permissions still sees the member list, without contact details and without being able to change anything.

Team management (invites, permissions, assigning to groups) can't be granted, it's owner only.

While permissions load it reads "Loading permissions…".

On this screen

Area switch

Grants or removes every permission in one area at once.

The quickest way to give full access to, or cut off, a whole area.

It's on as soon as at least one permission in the area is granted. Switching on grants everything in the area; switching off removes everything, even if only some were granted. Coming soon permissions aren't affected.

Area status

How many of the area's permissions are granted.

Shows at a glance whether access is full, partial or none.

Full access, No access, or "N of M" for partial access (highlighted). Coming soon permissions aren't counted.

Customise button

Expands the single permissions in the area.

Allows partial access, just some of the area's permissions.

Shows each permission with a switch. While expanded the button reads Hide.

Coming soon label

Marks a permission that can't be granted yet.

Shows what's on the way without letting you switch it on.

The switch is off and disabled, and the permission isn't counted in the area status.

Classes & members area

Groups, members, events, attendance, lessons, notes and announcements.

Everything to do with the day-to-day running of groups and the people in them.

It holds nine grantable permissions, plus Manage subscription (Coming soon).

Manage groups permission

Lets the employee look after the school's groups.

With it the employee can create, edit and delete groups, and create, rename, reorder and delete group categories. Without it they can't change groups. It also opens Groups in the admin dashboard, where the Categories button is.

Manage members permission

Add and remove members, handle join requests and join links.

Lets the employee decide who is in the groups.

With it the employee can: add and remove members from groups; see, approve and decline join requests; create, view and revoke join links; add, edit and archive members without an account, create their join link and link them to an account. Without it the member list is read-only.

View member contact details permission

See members' phone numbers and email addresses.

Lets the employee get in touch with members and parents.

With it the employee sees the Contact column in the member list, phone and email in the profile, and contact details in group member lists. Without it phone numbers aren't even sent to their device.

Manage events and their sessions permission

Add, edit, cancel and remove events and sessions; rooms.

Lets the employee maintain the schedule.

With it the employee can add, edit and remove events; cancel, reinstate, change and remove single sessions; send session reminders; choose which groups an event is for; and create, rename and delete rooms and the school's event colours. It also opens the Calendar in the admin dashboard and the Rooms and Event colours sections of the school settings.

Manage attendance permission

Mark, close and reopen attendance.

Lets the employee take attendance for sessions.

With it the employee can mark attendance one by one or in bulk, close and reopen a session's attendance, and change sign-ups for a session.

Author notes permission

Lets the employee keep notes on students' progress.

With it the employee can read and write notes about members and sessions and share them with the member. Without it they can't even read the team's notes.

Publish announcements permission

Publish and pin announcements, moderate comments.

Lets the employee keep members informed.

With it the employee can publish announcements, choose which groups they're for, pin and unpin them, and delete comments on them.

Manage subscription permission

Subscribe and unsubscribe the school. Coming soon.

Will let an employee manage the school's subscription.

It shows with a Coming soon label, the switch is disabled and the permission can't be granted from the employee's profile for now.

Payments area

Financials, charges, payments, reminders and payment plans.

Everything to do with the school's money.

It holds five permissions.

View financials permission

See charges, payments and financial reports.

Lets the employee keep an eye on the school's finances.

With it the employee can open Finance and see charges, payments, weekly, monthly and yearly statistics, who owes, the payment method breakdown, attendance packs and plan members. Without it the Finance entry is hidden and its address sends them back to Users.

Manage charges permission

Issue, edit, cancel, waive and delete charges.

Edit organisation profile permission

Lets the employee keep the school's profile up to date.

With it the employee can edit the school's profile in the Profile section of the school settings.

See the whole calendar permission

Lets an employee limited to their own groups see every event on the calendar.

Handy when a coach needs to see the whole schedule but only manage their own groups.

It isn't in the three areas, it shows under Access to groups, only when Only their groups is selected. The icon next to it explains: "Widens what this employee can see beyond their groups, one area at a time. Editing still follows their groups." With it the employee sees every event and its sign-ups; changes are still limited to their own groups.
