How it works

A plan with variants is one offer with several options, for example the weeks of a summer camp or the levels of a course. Each person picks their own variant, and the charge for it is issued at the moment they pick.

Creating. On the Plans tab press New → New plan with variants. The window has three steps: Basics, Variants and Review. It creates a category marked as a plan with variants and one plan per variant, all for the groups you choose (or the whole school, if your access covers the whole school). Until someone picks a variant nobody is on it and nobody is charged. Everyone the choice is offered to gets one notification that a choice is waiting.

What people see. On the school's Payments tab, under Your choices, a person sees the variants, picks one (or more, if you allowed it) and confirms. The charge is issued then and appears under To pay; paying is a separate step. For a child, the parent picks and pays.

A pick is final. Once confirmed, the person can't change or remove it themselves; only the school can, from the Who has chosen list. For a plan outside such a category that is open to self-selection, the person can leave it themselves while it is open.

How many variants. You decide whether each person can pick One or Several. An older choice may have an upper limit above one set on it, and that is kept.

In the plans list. A plan with variants has its own header showing an Open label, how many variants it has and whether people pick "one per person" or "several per person", a bar "N of M chosen" with "K not yet", and the Responses and Remind buttons. Its menu has Edit plan with variants.

Adding a variant later. Create a new plan with Members choose it and pick this plan in the Category field.

Notifications. Staff with the Manage payment plans permission (and access to the plan's group) get a notification when a person picks a variant.

Good to know

People's picks are final for them. If someone gets it wrong, you change their variant from Who has chosen.

A class-pack variant can only be created if lessons are enabled for the school.

The app no longer sets a deadline for choosing. If an older plan with variants has a deadline and it has passed, the label becomes Closed, people can't pick and Remind isn't available.

On this screen

New plan with variants window

Three steps where you set the name, who it is for and the variants, and see how it will look to people.

Creates the plan with variants and each of its variants in one go.

The bar at the top shows the steps Basics, Variants and Review; you can press steps you've already passed to go back. Errors show when you try to continue with Next; Back goes one step back, and on the first step the button is Cancel. Everything is saved or nothing is: if something goes wrong you see "Something went wrong. Please try again." and nothing is created.

On success you see "Plan created with N variants. People are being notified.", the window closes and the Who has chosen list opens for the new plan.

Basics step

The name, who it is for and how many variants each person can pick.

Sets what is common to all the variants.

At the top is a short explanation that this is one plan with a few variants people pick themselves, and that the charge is issued when they pick a variant.

Plan name field

The name of the plan with variants. Required.

Shown as the heading in the plans list and to people under "Your choices".

Between 2 and 100 characters; the hint reads "e.g. Summer camp 2026". A shorter name gives "Give the plan a name (at least 2 characters)."

Who is it for? choice

The groups the choice is offered to, or everyone in the school.

Decides who can pick from the variants.

A row of buttons: one per group and, only if your access covers the whole school, Everyone in the organisation. You can pick several groups. It is offered to the people in those groups; children appear under their own names and the parent pays. With nothing chosen you see "Pick at least one group, or everyone."

How many variants can each person pick? choice

One variant or several per person.

Decides whether the variants exclude each other.

Two buttons: One (hint "They can switch it later.", but once confirmed a pick is final for the person, see the article) and Several ("As many as they like."). The default is One, because that is how camp weeks or course levels work.

Variants step

The list of variants: a name, a price and a way to pay.

Describes what a person can pick and what it costs.

It reads "Each variant has a name, a price and a way to pay." It starts with two empty rows; you can add up to 20 variants with Add variant and remove a row with the bin (at least one stays). A new row is paid like the last, because "Week 1", "Week 2" are usually billed alike. Each variant has a name (between 2 and 100 characters; hint "e.g. Week 1") and a price above zero. Errors show next to the field concerned when you try to continue.

Payment choice

How the variant is paid: once, repeating or a class pack.

Decides which charges picking this variant issues.

Three buttons: One-off, Repeating and Class pack.

  • One-off: one charge, due on the day of the pick.
  • Repeating: a charge for every period. Under the buttons appear Period ("Every" a number and days/weeks/months) and, for a monthly period, Due on (Day 1, Day 5, Day 10 or Day 15).
  • Class pack: like repeating, plus Classes per period; it reads "Each period buys that many classes; attendance counts them down." Requires lessons to be enabled for the school.

+ Description button

Opens an optional description for the variant.

Lets you explain what the variant includes.

A field appears with the hint "What this variant includes (optional)", up to 500 characters. The description is shown to people.

Add variant button

Adds another variant row.

Lets you offer more than two variants.

Disabled at 20 variants.

Review step

A summary and an exact picture of what people will see.

Lets you check everything before creating the plan.

Shows For (the groups or everyone) and Variants per person (one or several). Under What people will see sits an inactive sample, exactly as on their Payments tab before anyone has picked. On this step the button is Create plan.

Plan with variants header in the list

The state, how many have chosen, and the buttons for responses and reminders.

Shows at a glance how far the choice has got.

Under the name sits "Plan with variants · N variants" and "one per person" or "several per person". The bar says "N of M chosen" and "K not yet". While the figures are being counted it reads "Counting responses…". On the right are the Responses and Remind buttons.

Open label

The choice is taking picks now.

Tells you that people can pick.

A green label next to the name. If the category has a deadline and it has passed, the label is grey and reads Closed: people can no longer pick and Remind is unavailable. A category that isn't a plan with variants has no such label.

Responses button

Opens the list of who has chosen.

Shows everyone the choice is offered to and what they picked.

Opens the Who has chosen panel, see the next element.

Remind button

Reminds everyone who hasn't picked a variant yet.

Nudges the undecided to make their choice.

Needs the Send payment reminders permission. The hint reads "Notifies everyone who hasn't picked a variant yet. One reminder every 12 hours." The payer (the parent, for a child) of everyone marked "Not yet" within your access is notified, according to their notification settings. You see "Reminder sent to N people." and the button becomes "Reminded N". It doesn't work if the choice is closed, if there's nobody to remind, or if a reminder went out in the last 12 hours (the app then shows a message saying so).

Edit plan with variants item

Opens the window with the plan with variants' settings.

Lets you change the name, how many variants each person can pick, or switch the choice off.

Needs the Manage payment plans permission. The Edit plan with variants window has the Plan name, a Plan with variants switch and How many variants can each person pick?; you save with Save ("Category updated.").

If you switch it off, people can no longer pick, but nobody is removed from their variant and the plans' settings stay. If you switch it on again for a regular category, all its plans become available for picking and everyone the choice is offered to is notified.

Who has chosen panel

Everyone the choice is offered to, with their status and chosen variant.

Answers who hasn't chosen yet and lets you choose on their behalf.

At the top are four numbers: Eligible, Chosen, Not yet and Locked. If the school has more than one group there is a Filter by group select (All groups) and the numbers follow the filter. The table has the columns Member (with their groups), Status and Variant (the variants picked, "Unpaid" if they still owe a charge, and the date of the pick). Only people in groups you have access to are shown. If nobody can pick yet it reads "Nobody can pick from this plan yet."

At the bottom is a "Remind N who haven't chosen" button (needs Send payment reminders), with a note "Notifies the payer of everyone marked "Not yet". One reminder every 12 hours."

Chosen status

The person is on at least one of the variants.

Shows that a choice has been made, by the person, by the school or through their group.

A green label. The Variant column shows the name of the variant picked.

Not yet status

The person is on none of the variants.

Shows who you should nudge or choose for.

An amber label. These are the people who get the reminder from Remind.

Set by the school status

The person was put on a variant by the school or by their group, and it isn't one that can be picked.

Shows a choice the person can't make or change themselves.

A grey label; the figure at the top is called Locked. It happens when the variant is hidden from people, disabled or archived, or when the choice no longer takes picks.

Choose and Change buttons

Choose or switch a variant on the person's behalf.

Lets the school pick, change or remove a person's variant.

Needs the Manage payment plans permission and access to the person's group. Under the row of someone marked "Not yet" is Choose, and for everyone else, Change. A form opens:

  • If the person already has a variant, you first pick which pick to Replace "name", or Add another option (only if the limit allows it).
  • Then you pick the new variant from the list (with prices; variants they are already on aren't offered) or Remove variant.
  • Under the choice it says what will happen: "Unpaid charges for "name" are cancelled. Paid charges are not refunded." and "A charge for "name" is issued and the payer is notified."
  • Save confirms ("Variant saved for name." or "Variant removed for name."); Cancel closes the form.

The school isn't held to the choice's limit and can also pick a hidden variant or one in a closed choice, but not a disabled or archived one.

Choice notifications

Who gets notified about a plan with variants, and when.

Keeps people and the team in the loop.

  • To people: when you create a plan with variants (or switch a category's choice on), everyone it is offered to gets a "choose an option" notification with a link to the Payments tab. Remind sends the same notification again. For a child, the parent gets it.
  • To the team: when a person picks a variant, staff with the Manage payment plans permission (and access to the plan's group) get a notification that a new pick was made.

After a pick the person also gets the usual notification for an issued charge.

Frequently asked questions

When is the charge issued in a plan with variants?

At the moment the person confirms their pick, or when you choose a variant for them. A one-off variant is due on the day of the pick; a repeating or pack variant follows the variant's schedule.

Someone picked the wrong variant. What do I do?

They can't change it themselves. Open **Who has chosen**, press **Change** next to their name, choose which pick to replace and the new variant, and press **Save**. Unpaid charges for the old variant are cancelled and a charge is issued for the new one.
