Credit packs

How packs work: when credits are granted, used and expire, and what happens on a visit without a pack.

Ask Classy

A pack is a prepaid number of visits for a period, for example 8 classes a month. The person pays the period's charge, and each counted attendance lowers their credits.

Billing. A pack plan is billed by period like a recurring plan: a new charge for every period, with the same interval and due day. The next period's charge is issued automatically once its due date is 10 days away or less.

Granting. The period's credits are granted when its charge is paid, online, in cash or by bank. They last until the next period is due (if that due date was re-dated by hand, the limit moves with it), and in the plan's last period, until its end. There is no separate validity in days any more.

Using. One credit per attendance, only on classes that count towards packs. According to the app's note, credits are used when the lesson is closed; if you un-mark attendance, the credit goes back to the same pack. The credit comes from the pack for the class's group; if that group sells no pack, a pack from another group can be used.

Visit without a pack. If the member attends without a valid pack, the visit still counts and their balance goes below zero, the Visits owed (no pack) row. When they pay for the next pack, the owed visits are taken out of the new credits.

Undoing a payment. If you undo a cash or bank payment on a pack's charge, the pack is removed because it was never paid for. Classes already taken from it stay recorded as visits owed and, if the person has another usable pack, are taken out of it; otherwise they wait for the next paid pack. If you pay the same charge again, a fresh pack is issued and takes over the owed visits. A card payment can't be undone.

Expiry and renewal. Every day, packs past their date become Expired. The member gets one "Renew your pack" notification when their credits run out or the pack expires within 3 days. Renewal is the next period's charge: once the person pays it, they get the new credits. If that charge hasn't been issued yet, you can issue it with Generate charges now.

Good to know

School-wide pack balances are under History → Pack balances; for one plan, in its details.

Pack plans can only be created if lessons are enabled for the school.

On this screen

Active status

A paid pack with credits left that hasn't expired.

Shows the member can attend on the pack.

Green label. Becomes Exhausted when credits run out, or Expired when the period ends.

Exhausted status

Every credit in the pack has been used.

A sign the member needs to pay for a new pack.

Yellow label. If you un-mark an attendance or give back a credit, the pack becomes Active again as long as it hasn't expired. The Visits owed (no pack) row always has this status too.

Expired status

The pack's validity period has passed.

Shows remaining credits can no longer be used.

Grey label. An expired pack's credits can't be adjusted.

Visits owed (no pack) row

A member's visits counted without a valid pack.

Keeps track of visits not yet covered by a paid pack.

Shown in Pack balances in place of the plan name. Credits are negative or zero. The debt is covered automatically by the next paid pack, as far as its credits go. Credits on this row can't be adjusted by hand.

Frequently asked questions

A member came after their credits ran out. Do we lose the visit?

No. The visit is recorded as owed and their balance goes negative. When they pay for a new pack, the owed visits are deducted from it.

Do unused credits carry over?

No. Once the next period is due, the pack becomes **Expired** and remaining credits can't be used.
