How it works
Manages who pays on the plan and at what price, with exceptions for individual members, each with a reason.
The Members on this plan section in the plan details lists every member with the price they pay. If it differs from the base price, the base price is struck through and a reason label sits beside it. Under the name is a label showing how the person got on the plan (Via group, Added by staff or Self-picked) and labels with the plan's groups they attend; on a plan with several groups this shows why they are on it. For a pack, each row shows remaining credits out of the total, the expiry date and the pack status.
The subtitle reads "Tap a member for price actions, every exception needs a reason.", or for a pack "Each member's remaining credits and expiry." Press a row to see the actions for that member. Which actions you see depends on your permissions: adding, removing and discounts need Manage payment plans, while adjusting or waiving the next charge needs Manage charges. With neither, rows don't open.
On this screen
Add member button
Adds someone to the plan, even if they're not in its group.
Add member button
Adds someone to the plan, even if they're not in its group.
Puts a member or child on the plan so they're billed under it.
Needs the Manage payment plans permission. Opens a panel with a Search members… box and a list of every member and child in the school not yet on the plan; a child shows "pays:" and the parent. Pick one person and press Add, name. People are added one at a time; the panel stays open for the next. The button reads Cancel while the panel is open.
If the plan is active and not archived, the person added gets a charge straight away: on a recurring or pack plan, for the current period if it has started; on a one-off plan, unless they already owe an unpaid charge from it. The person added gets an Added by staff label. You see "Member added to plan."
If everyone is already on the plan it reads "Everyone is already on this plan."; if search finds nobody, "No members match your search."

Member row

Shows each member's price and gives access to their exceptions.
If nobody is on the plan it reads "No members on this plan yet." Press a row to show its buttons; the chosen action opens a small form in the row. Cancel closes the form without changes.

How they got on the plan label
Via group · Added by staff · Self-pickedShows how the person got on the plan.
Helps you see why someone is on the plan and whether you added them.
- Via group: they're on the plan because they are in one of its groups.
- Added by staff: added by staff, with Add member, when the plan was created, or by choosing for the person.
- Self-picked: the person picked the plan themselves.
Next to it are the plan's groups that the person attends.
Set discount button
Sets a standing price for this member on the plan.
Set discount button
Sets a standing price for this member on the plan.
The member pays this price instead of the base price on every later charge from the plan.
Needs the Manage payment plans permission. Fill in New standing price: the actual price the member will pay, not the size of the discount (0 to 999,999.99; 0 means free), and Reason (required, up to 500 characters), then Save. Without an amount or reason you see "Enter an amount and a reason." The member's unpaid charges on the plan are recalculated at the new price. The discount shows in the row's label, in the plan's discount count and in the Discounts section. "Discount saved." appears.
The reason you write isn't only for you: the person (or the parent) sees it next to their price as "Reason for the price change". Word it so it is fine for the family to read.
One-time adjustment button
Changes only the amount of the member's next unpaid charge on the plan.
One-time adjustment button
Changes only the amount of the member's next unpaid charge on the plan.
Suits a single case, such as half a month missed.
Needs the Manage charges permission; not shown on pack plans. It affects the plan's unpaid charge with the earliest due date. Fill in New amount (0.01 to 99,999.99) and Reason (required, up to 500 characters) and press Save. If the member has no unpaid charge from the plan it reads "No upcoming charge to adjust." "Charge adjusted." appears; in the charge details the amount shows as This charge only. The reason is also shown to the person on their charge as "Reason the amount was changed".
If the base price or the member's discount changes later, the adjustment is replaced by the new price.
Waive next charge button
Waives the member's unpaid charge on the plan with the earliest due date.
Waive next charge button
Waives the member's unpaid charge on the plan with the earliest due date.
A quick way to let a member off one period, for example when ill.
Needs the Manage charges permission. It asks "Waive the €… charge that's next due?"; press Confirm waive. It doesn't ask for a reason, the charge is recorded with the reason "other". The member is notified. If there is no unpaid charge it reads "No upcoming charge to adjust." "Next charge waived." appears.
For a specific reason such as Sick month, waive the charge from its details on the Charges tab.
Adjust credits button
Deducts or gives back credits on the member's pack.
Adjust credits button
Deducts or gives back credits on the member's pack.
Corrects the balance, for example for a missed attendance mark or a visit that shouldn't count.
Only shown on a pack plan, for a paid pack that hasn't expired, and needs the Manage payment plans permission. The number shows remaining credits out of the total. − (Deduct one credit) lowers it, + (Give back one credit) raises it, you can't deduct more than remain or give back more than were used. The pack's total credits never change. Type a reason and press the button that says what will happen, such as Deduct 2 credits or Give back 1 credit. With no change or no reason you see "Choose how many credits to deduct or give back, and add a reason." "Credits updated." appears.
Remove discount button
Returns the member to the plan's base price.
Remove discount button
Returns the member to the plan's base price.
Ends the standing discount.
Only shown for a member with a discount and needs the Manage payment plans permission. It asks "Remove this member's discount and bill them the standard price?"; press Yes, remove discount. The member's unpaid charges on the plan are recalculated at the base price. "Discount removed." appears.
Remove from plan button
Stops billing the member on this plan.
Remove from plan button
Stops billing the member on this plan.
Takes the member off the plan without removing them from the group.
Needs the Manage payment plans permission. It asks "Remove this member from the plan?"; press Yes, remove. The member stays in the group but is no longer billed on the plan, even if the plan adds group members automatically. Charges already issued to them aren't cancelled. "Member removed from plan." appears.
Frequently asked questions
What's the difference between Set discount and One-time adjustment?
**Set discount** changes the price the member pays on the plan from now on, for all future charges and for currently unpaid ones. **One-time adjustment** changes only the nearest unpaid charge.
I removed a member from a plan. Is their charge cancelled?
No. Charges already issued stay. If they shouldn't be paid, cancel or waive them from the **Charges** tab.
