Plans tab

Your school's payment plans, their categories, archived plans and the discounts on them.

Ask Classy

Step by step

  1. 1

Open Finance and the Plans tab.

  2. 2

Press New and pick what to create, or press a plan to open an existing one.

How it works

A plan is a template Classes uses to issue charges to the people in one or more groups, or the whole school: once, every period, or as a pack of credits for visits. Here you see all plans, sort them into categories, open their details and create new ones.

Each plan is a card or a line in the list, and Plan layout switches between Cards and List. If you have categories, plans sit under them; plans without one are under Uncategorised. Active plans come first; disabled and archived ones are faded. Press a plan to open its details.

The New button opens a menu with three choices: New plan, New plan with variants and New category. At the bottom are two collapsed sections: Discounts (only if someone pays a price different from the plan's) and Archived plans (only if you have any).

Creating and changing plans and categories needs the Manage payment plans permission.

Good to know

If your access is limited to certain groups, you only see those groups' plans.

Staff without the Manage payment plans permission see the plans, but the New menu and the plan actions aren't shown.

The layout (Cards or List) is remembered only for the current browser session; the default is Cards.

On this screen

New menu

The menu for creating a plan, a plan with variants or a category.

Puts everything you can create on the Plans tab in one place.

Needs the Manage payment plans permission. On a phone the same three choices open from the "+" button in the top bar.

New plan item

Opens the window for creating a plan. Its hint reads "A fee for a group or for people".

Starts creating a new payment plan.

Needs the Manage payment plans permission. Opens the two-step New plan window (Type and Details), see the article on creating a plan.

New plan with variants item

Opens the window for a plan where people pick a variant themselves. Its hint reads "People pick a variant themselves".

Suits the weeks of a summer camp or the levels of a course: you offer several variants and each person picks for themselves.

Needs the Manage payment plans permission. Opens the three-step New plan with variants window, see the article on plans with variants.

New category item

Creates a category, a folder for keeping plans tidy.

  1. Press New and choose New category.

  2. Type the Category name.

  3. Press Create.

Lets you group related plans under one name, for example "Summer camp".

Needs the Manage payment plans permission. Opens the New category window: type a name (at least 2 characters) and press Create. You see "Category added." If the name can't be used you see "That didn't work. The name may already be in use."

The same window has a Plan with variants switch: with it on, the category becomes one that people pick from themselves. See the article on plans with variants.

You can also create a category from the Category field when creating a plan, with + New category….

Plan layout switch

Switches plans between cards and a list.

Lets you choose between roomier cards and a more compact list.

Two icon buttons: Cards and List. In Cards each plan shows its description, price, schedule and group; in List each plan is one line. The choice is kept only for the current browser session, and the default is Cards. On a phone, one button in the top bar switches to the other layout.

Search plans box

Filters plans by name.

Helps you find a plan in a long list.

Only shown when you have more than 5 non-archived plans. It searches plan names. While searching, categories with no match are hidden. If nothing matches it reads "No plans match your search."

Plan card or line

The summary of one plan in the list.

Shows the essentials of a plan without opening it.

In the Cards layout:

  • Category above the name, if the plan is in one.
  • Name, a type label (One-off, Recurring or Pack) and, when it is in a category, a label saying whether it is offered to people.
  • Description, if any.
  • Price with "/ month", "/ N months", "/ week", "/ day" or "one-off".
  • Schedule: for recurring and pack plans "Every N month(s) · due on the D" (the due day only for a monthly interval) or "Every N day(s)/week(s)"; for a pack also "N credits per period"; for a one-off "Due" and the date.
  • N active members.
  • Group: a chip with the group name, "N groups" or Whole organisation.
  • At the bottom: "N price overrides" or "No overrides", and the status Active, Disabled or Archived.

In the List layout one line shows a type icon, the name, labels only for what is unusual (Archived, Disabled, Hidden from members, Members join themselves, "N discounts"), the group, a one-off's due date, a pack's number of classes, the price and the number of members.

One-off label

A plan with a single charge, camp, equipment, event fee.

Issues each person on the plan one charge with the set due date.

Charges are issued when the plan is created to everyone already on it, and to anyone who joins the plan later. Generate charges now can issue it again to those who have already paid.

Recurring label

A flat fee charged every period.

Automatically issues each person on the plan a charge for every period, day, week or month.

A period's charge is issued once its due date is 10 days away or less. See the article on how plans bill.

Pack label

Billed every period like a recurring plan, with each charge buying credits that attendance counts down.

The person pays a charge for each period and gets a set number of credits for visits.

A pack has a schedule like a recurring plan: a new charge for every period. Paying the charge grants the credits, and each counted attendance uses one credit. The credits are valid until the next period is due. See the packs article.

Plan status

Active · Disabled · Archived

Whether the plan is currently billing.

Tells you whether charges are being issued from the plan.

  • Active (green), the plan runs and its members can see it.
  • Disabled: paused: no new charges are issued and members don't see it. Turn it back on with Enable plan.
  • Archived: a retired plan kept for its payment history. Hidden from members and generates no charges.

Offered label and its relatives

Shows whether people can pick the plan themselves.

Explains why a plan is or isn't available for self-selection.

Shown in the Cards layout and means:

  • Offered: people can pick the plan now (a plan open to self-selection, in a category or outside one).

The next three only appear on plans that are in a category:

  • Hidden from the choice: the category is a plan with variants and takes picks, but this plan isn't open to people.
  • Not offered: choice closed: the category isn't a plan with variants (or is closed), so nothing in it is picked by people themselves.
  • Not offered: choice ended: the category has a deadline that has passed.

A disabled or archived plan has no such label, its status says it.

Category section

A category and the plans in it.

Groups related plans under one heading so they're easier to find.

The header shows the category's name and how many plans it holds ("N plans" or "No plans yet"). Press it to fold or unfold the plans; every section starts unfolded, and the folded ones are kept in the page address, so the browser's Back button undoes a fold. The "More actions" menu on the right (for staff with the Manage payment plans permission) has Edit category, Move up, Move down and Delete category.

The Uncategorised section appears only while it holds plans and can't be moved or deleted. A category that is a plan with variants has extra things in its header, see the article on plans with variants.

Delete category asks "Delete "name"? Its plans stay, without a category." After you confirm you see "Category removed. Its plans are now uncategorised."

No plans yet message

No plans yet.

Shown when there isn't a single non-archived plan or any category.

Tells you to create your first plan.

Below it reads "Use "New" to add a plan, a plan with variants, or a category." Press New. If plans can't be loaded, you see "Failed to load plans." with a Try again button instead.

Archived plans section

The collapsed section holding retired plans.

Keeps old plans out of the way without losing their history.

Only shown if you have archived plans; their count sits next to the title. Press it to expand. Inside it reads "Retired plans, kept for their payment history. Open one to restore it." Open a plan and press Restore to bring it back to the main list.

Discounts section

Every person paying a price different from their plan's base price.

Shows in one place who you gave a discount to, on which plan, why, and how much the price differs.

The collapsed section is shown only if there is at least one such person; their count sits next to the title. Inside it reads "Who pays something other than the base price, and why." Each row shows the person, the plan, a reason label, the struck-through base price, their price and the difference (for example "−€10.00"). Only standing prices set with Set discount are listed; one-time adjustments and waived charges are not. Archived plans aren't counted.
