Session details

The window that opens when you click a session in the calendar, what it shows and what you can do there.

Ask Classy

Brings everything about one session together: when it is, who it's for, who leads it, which room, whether there is a limit and whether it uses credits. Parents say whether they're attending and read the lesson here; staff edit, cancel or go to attendance.

Click a session in the calendar. The window opens in view mode, titled with the session's name.

What's in it depends on your role:

  • Parents and members see the details, their remaining credits (if the session uses credits), the Lesson & notes section and the Attending / Not Attending buttons.
  • Staff see the details and the Mark attendance link. Those with the Manage events and their sessions permission see the edit, cancel and delete icons only on the Calendar page of the admin dashboard, not in the school's calendar.

On a computer the window can be moved; on a phone it opens from the bottom as a sheet. The Escape key closes it too.

Good to know

A session can also be opened from a link (for example Open in calendar on the Attendance page).

If the session is cancelled, the top says This event has been cancelled. and the attendance and edit buttons aren't shown.

On this screen

This event has been cancelled. banner

An orange strip at the top of a cancelled session's window.

Explains why the attendance and edit buttons are missing.

Shown to everyone. Staff with the Manage events and their sessions permission also see You can reinstate it via the cancel button above.

Date and time

When the session is, with a strip in its colour.

Shows the date and times of this particular session.

For a multi-day event the start and end dates are shown. If the session was moved on its own, the new date and time are shown.

Edit, cancel and delete icons

The three icons next to the date: pencil, cancel sign and bin.

Give access to changing, cancelling and deleting the session.

Only visible on the Calendar page of the admin dashboard and only to staff with the Manage events and their sessions permission.

  • Pencil (Edit Event), switches the window to the edit form. Missing on a cancelled session.
  • Cancel sign (Cancel Event), opens the cancel confirmation or, on an already cancelled session, the reinstate one.
  • Bin (Delete Event), opens the delete confirmation.

Repeat and description

The Repeats: … line and the session's description, when there are any.

Tells you whether the session is part of a series and what attendees should know.

Repeats: … only shows for sessions in a series. The description only shows if it was filled in.

Who the session is for

The cards of the groups the session is for, or For all groups.

Shows who the session is for.

Each group has a card with its name and below it Whole group or For: … with the names of the chosen people. If nobody is set to lead the session, the card also says Coach: … with the group's staff. A session for the whole school shows For all groups.

Leader, room, limit and credits

The rows showing who leads the session, the room, the attendance limit and whether it uses credits.

Gives the practical information about the session.

  • Led by …, if people are set under Who leads this event.
  • The room name, only if one is set.
  • No attendance limit or Max … attendees.
  • Counts toward packs or Doesn't count toward packs.

Your credits row

You have {{count}} pack credits left

How many credits you have left, shown on sessions that use credits.

Tells you before the session whether your attendance pack is still active.

Only shown to members and only for sessions that count toward packs. A green row shows the total left across your active packs. With no active pack the row is yellow: You have no active pack, classes you attend are counted as visits owed and deducted from your next pack.

Mark attendance link

Opens the attendance panel for this session on top of the calendar.

Lets you record who came straight from the calendar.

Shown to the owner and staff (in both calendars), but not on a cancelled session. Opens, on top of the calendar, the same panel as on the Attendance page, where attendance is recorded and the lesson is written. The View on attendance page button at the top of the panel takes you to the Attendance page. For how to mark attendance, see the Attendance section of help.

Lesson & notes section

The published lesson and the notes shared with you for this session.

Lets you read what was covered in the session without looking for it in the Lessons tab.

Only shown to members and parents, and collapsed by default, tap it to load. It contains the lesson text and the attachments (tap a file to open it). Under Notes are the staff notes shared with your family. If no lesson is published it says No lesson has been shared for this session yet.

You only see published lessons and only for sessions of groups that you or your child are members of. Staff don't see this section, they work with the lesson in Attendance.
