How it works

Shows in one place when and where sessions take place. Parents and members see their groups' sessions and say whether they will attend. Staff plan and manage the schedule from the Calendar page of the admin dashboard.

The calendar lives in two places.

The Calendar tab on the school's page is for everyone: parents and members see their sessions and say whether they will attend, while the owner and staff see the schedule read-only. The tab is visible to the owner, to staff, and to anyone who (or whose child) is a member of at least one group in the school. It opens on the current month.

The Calendar page in the admin dashboard is where the schedule is managed: sessions are added, changed, cancelled and deleted there. It appears in the sidebar under Admin Actions, only for staff with the Manage events and their sessions permission (the owner always has it). From the school's calendar those staff reach it with the Manage link.

What the calendar contains depends on your role: a member sees only the sessions meant for them or their child plus the ones for the whole school; a staff member sees the sessions of the groups they have access to (see Who sees what in the calendar). The Filters button is available to every staff member, while the Add Event button is only in the admin calendar. Clicking a session opens its details window.

Good to know

If you don't see the Calendar tab, you are not staff at the school and neither you nor a child on your profile is a member of one of its groups.

A cancelled session stays on the calendar but is marked as cancelled.

A staff member without the Manage events and their sessions permission has no Calendar page in the admin dashboard and sees the schedule only in the school's calendar.

On this screen

Calendar tab

The tab on the school's page that holds the schedule.

Takes you to the school's schedule.

Shown to the owner, to staff and to group members (including parents whose child is in a group). The schedule in it is read-only for everyone, staff included. Whenever you switch between the school's tabs, the calendar reloads so it shows the latest changes.

Calendar page in the admin dashboard

Where staff add, change, cancel and delete sessions.

Keeps managing the schedule in one place, so there is no second, weaker place to edit from.

It is in the sidebar under Admin Actions, first in the list. It is shown only to staff with the Manage events and their sessions permission (the owner always has it); without it the page sends you back to the dashboard. Here you have Filters, Add Event and the Rooms view, and clicking a session gives you buttons to change, cancel and delete it. On a phone the two buttons are circles at the top right of the screen.

Views and navigation

How to switch between month, week and day and move to another period.

Lets you look at the schedule up close (a day), across a week or across the whole month.

The calendar opens in the month view on today's date. The buttons are Month, Week, Day and Today, the arrows move backwards and forwards, and there is a field for jumping to a specific date. Staff in the admin calendar also get a Rooms view once the school has rooms.

Hours show from 06:00 to 22:00 by default, and the grid widens if a session falls outside them. If you move to another day or view and then save, cancel or delete a session, the calendar stays where you were.

Start and end of a session in the calendar

What is written on each session in the different views.

Lets you see when a session ends without opening it.

In the Week, Day and Rooms views each session shows its start and end time and its title, for example 13:30–15:00 Yoga. In the Month view it is just the start time and the title, plus the word “cancelled” on a cancelled session. In the all-day row it is the title alone. On a phone the month view also lists the day's sessions, with the time on its own line.

Rooms view

A view in the admin calendar with one column per room for the selected day.

Shows which rooms are busy and which are free during the day, so you can spread sessions across rooms.

It exists only on the Calendar page of the admin dashboard, and only once the school has added at least one room in the organisation settings. For the selected day each room is a column, and sessions without a room are in the No room column. The school's calendar, members and parents don't get this view. Dragging across empty time in a room's column opens the new-session window with the date, time and that room filled in.

A session in a room that was later deleted shows in the No room column.

Drag to create

In the admin calendar, drag across empty time to start a new session.

Saves typing the date and time, you point at the time right on the calendar.

Works only on the Calendar page of the admin dashboard and only for staff with the Manage events and their sessions permission. Drag across empty time in the week or day view (or across days in the month view) and the Add Event window opens with the start and end dates and times filled in. In the month view the session starts at 09:00 and lasts 60 minutes. If the window is already open and you drag again, only the date, times and room change, everything else you have filled in stays.

Moving or resizing existing sessions by dragging is not switched on, change the time from the session window.

Add Event button

Opens the window for creating a new session or event.

Starts adding a new one-off or recurring session to the schedule.

It exists only on the Calendar page of the admin dashboard, next to Filters, and is only visible to staff with the Manage events and their sessions permission (the owner always has it). On a phone it is the circle with a plus at the top right of the screen. Opens the three-step Add Event window, see Adding a session.

Cancelled marker

What a cancelled session looks like in the calendar.

Shows that the session won't take place without removing it from the schedule.

A cancelled session stays on the calendar with a red background and a struck-through title, and in the month view the word “cancelled” is added after the title. When opened, the window says This event has been cancelled. A staff member with the Manage events and their sessions permission can reinstate it.

Frequently asked questions

Why can't I see all of the school's sessions?

Members only see sessions for their own groups and the ones for the whole school. A staff member limited to their own groups sees those groups' sessions unless they have the **See the whole calendar** permission. Also check whether a filter is on, the **Filters** button shows how many are active.

Where do I add a new session?

On the **Calendar** page of the admin dashboard, with the **Add Event** button. The calendar on the school's page is view-only, from there you reach the admin one with the **Manage** link.
