Rooms in the calendar
How sessions are linked to rooms and how to see how busy the rooms are.
Ask ClassyHelps you know where each session takes place, check which room is free and find sessions with no room.
Rooms are added, renamed and deleted in Organisation settings (opened from the school picker in the sidebar), in the Scheduling group, in the Rooms section (see Setting up your school). Once there is at least one room, the calendar gains:
- a Room field when creating, and in the Settings tab when editing a session;
- a Room filter under Filters, including No room;
- on the Calendar page of the admin dashboard, a Rooms view with one column per room.
The room shows in the session details when one is set. It applies to the whole series and can be changed later with Edit All Events.
Good to know
The app doesn't check whether a room is already booked at the same time, two sessions can be in one room at once. Use the Rooms view or the filter to check.
If you delete a room, its sessions stay; when editing, their room shows as Room no longer available until you choose another, and in the Rooms view they are in the No room column.
Parents and members see the room name in the session details, but have no rooms view or room filter.
