Who sees what in the calendar

Which sessions members, parents and staff see, and which permissions unlock managing the schedule and lessons.

Ask Classy

Explains why different people see a different calendar and which permission a staff member needs to create sessions or lessons.

Parents and members

You see the Calendar tab if you or a child on your profile is an active member of at least one group. It contains:

  • sessions for the whole school;
  • sessions for groups that you or your child belong to;
  • sessions for specific people only, only if you or your child are among them.

You don't see filters, the add button or the Rooms view. The Lessons tab is also members-only.

Staff

  • The owner sees and can do everything.
  • A staff member with access to all groups sees the whole calendar.
  • A staff member limited to their own groups sees whole-school sessions and those that include at least one of their groups. With the See the whole calendar permission they see every session of the school, but can only change the ones for their groups.

The calendar on the school's page is read-only for everyone, staff included. The schedule is managed on the Calendar page of the admin dashboard.

What a staff member can do depends on their permissions:

  • Manage events and their sessions: the Add Event button, editing, cancelling, reinstating and deleting sessions, sending reminders, managing rooms.
  • View lessons: the Lesson tab in a session's panel on Attendance.
  • Author lessons: writing, publishing and attaching files to a lesson.
  • Author notes: adding and sharing member notes.

Filters and the Mark attendance link are available to every staff member.

Good to know

A staff member who is also a group member sees the calendar as staff, without the attendance buttons.

A staff member limited to their own groups can't create sessions for the whole school or for groups outside their own.

Staff permissions are set on the Employees page.

On this screen

Manage events and their sessions permission

The permission to create, change, cancel and delete sessions.

Gives a staff member full control of the schedule within the groups they can access.

Unlocks Add Event, drag-to-create, the edit, cancel and delete icons, reminders to people who haven't answered, and managing rooms and event colours in Organisation settings. Only with this permission is the Calendar page in the admin dashboard visible. Without it a staff member sees the calendar and details read-only.

See the whole calendar permission

Lets a staff member limited to their own groups see every session of the school.

Useful for a coach who needs to know the whole schedule (for example room use) without managing other groups.

Only relevant for staff whose access is Only their groups. It widens visibility only, other groups' sessions stay read-only. The Group filter also lists every group.

View lessons, Author lessons and Author notes permissions

The permissions that decide staff access to lessons and notes.

Separate who only reads lessons from who writes and publishes them.

  • View lessons: shows the Lesson tab in a session's panel (drafts included). Without it the tab isn't shown.
  • Author lessons: allows writing, saving, publishing and attaching files. Without it the lesson is read-only.
  • Author notes: allows adding and sharing member notes.

Session lists for staff

How the Attendance page lists the school's sessions, today, upcoming and past.

Gives staff a date-by-date list of the same sessions that are in the calendar.

The Attendance page takes sessions from the calendar and groups them into today, upcoming and past, in pages. The list is available to all staff but narrowed to the groups the staff member can access. Every session is listed whether or not anyone answered, attendance was taken or a lesson exists. Recording attendance itself is covered in the Attendance section.

Frequently asked questions

A staff member can't add sessions. Why?

They don't have the **Manage events and their sessions** permission. It is granted on the **Employees** page.

My child is in a group but I can't see one session. Why?

The session is probably for specific people in the group only, and your child isn't one of them.
