The Attendance page

The place in the admin dashboard where staff see sessions and sign-ups and record who actually attended.

How it works

Brings everything about attendance together: who signed up for a session, who actually came, notes about members and the lesson for each session. From here you record attendance for one session or for a whole month at once.

Open it from Attendance in the admin dashboard sidebar. At the top there are three views: Sessions, Sign-ups and Grid. Unless you pick another, the page opens on Sessions. The chosen view is kept in the page address, so refreshing or going back keeps you where you were.

Clicking a session opens the attendance panel on the right. The session itself (time, audience, recurrence, cancelling) is managed in the calendar, which is why there is an Open in calendar button throughout.

Every staff member of the school can view attendance. To record, finalize or reopen attendance you need the Manage attendance permission. Without it the buttons are shown but disabled. The school owner has every permission.

Good to know

If the marking buttons are grey and hovering shows “You don't have permission to record attendance”, ask the school owner for the Manage attendance permission.

If your access is limited to your own groups, you only see and mark sessions and members from those groups.

On this screen

View switcher

The three tabs at the top that change the page view.

Lets you look at attendance three ways: as a list of sessions, by sign-ups for the coming days, or as a monthly grid.

The tabs are, in order, Sessions, Sign-ups and Grid. The chosen view is remembered in the page address. Sessions is the default view and the only one with nothing extra in the address.

Sessions view

A list of upcoming or past sessions, with search and a group filter.

Helps you find a specific session, today's, a future one or a past one, and record its attendance.

This is the default view and the first tab. Sessions are grouped by date and split into pages. Clicking a row opens the attendance panel.

Sign-ups view

Today's and the next sessions as cards showing who signed up.

Shows at a glance who is coming, who can't make it and who hasn't replied for today's and upcoming sessions.

Each session is a card with three columns. From here you can send a reminder to everyone who hasn't replied. See the Sign-ups view article for details.

Grid view

A whole-month table: members in rows, sessions in columns.

Gives you each member's attendance for the month and lets you mark quickly by clicking a cell.

Choose a group and a month. Each cell shows present, absent or not marked yet. See the Attendance grid article for details.

Mark attendance button in the calendar

A shortcut from a session in the calendar to its attendance panel.

Saves you finding the session in the list: you record attendance straight from the calendar without leaving it.

The button is in the session preview in the school calendar and only staff see it. It opens the attendance panel for that session and date on top of the calendar, so you don't change page. It isn't shown for cancelled sessions. To see the session on the Attendance page, press View on attendance page at the top of the panel.

View on attendance page button

From the panel in the calendar it takes you to the same session in the sessions list.

Shows where the session sits on the Attendance page, when you want to carry on with other sessions in the list.

The button is at the top of the attendance panel when you opened it from the calendar. The Attendance page opens on the Sessions view, switches to Upcoming or Past depending on the session's date, shows all groups, finds the page the session is on, scrolls to it and highlights it for about two seconds. The panel does not open again. If the session is no longer in the list, you stay on the first page.

Attendance-related permissions

Which staff permissions unlock which actions on the page.

Explains why some buttons are disabled or missing for a given staff member.

  • Manage attendance: marking here / not here, Mark everyone attended, Finalize attendance and Reopen attendance.
  • View lessons: shows the Lesson tab in the session panel.
  • Author lessons: writing, attaching files and publishing a lesson.
  • Author notes: viewing, adding and sharing notes about members.
  • Manage events and their sessions: sending a reminder with Remind all in the Sign-ups view.

The school owner grants permissions in the employee's settings. The owner has every permission.

Staff limited to their own groups

What staff whose access is limited to their groups see on the page.

Keeps data of other groups private while still letting the staff member run attendance for their own.

When Access to groups for an employee is set to Only their groups, they only see sessions and members from the groups they are assigned to. They can only mark attendance for members of those groups. If they aren't assigned to any group yet, there is nothing to see.

Frequently asked questions

Who can record attendance?

The school owner and staff with the **Manage attendance** permission. Every other staff member can only view it.

Do parents see the attendance I record?

No. Recorded attendance isn't shown to members or parents and doesn't send them a notification. They only see its effects, such as pack credits used or notes shared with them.
