How it works

Lets you add an employee by sending them a link. Permissions, groups and access reach are chosen when you create the link, and the person sees and accepts them before joining.

Open it with Invite Link on the Employees tab. Only the owner can create and revoke these links.

You choose What they can do, Groups they administer, Access to groups, and optionally the number of uses and how long it's valid, then press Generate Link.

A link's settings can't be changed after it's created. You can change the employee's permissions any time from their profile, though. If someone who is already an employee opens the link, their permissions and groups stay as they are, but a use is still counted.

Good to know

By default the link is single use with no expiry, right for one person.

When the window opens every permission is switched on. Switch off the ones the employee shouldn't have.

On this screen

Staff Invite Link window

The form for a new link and the list of existing links.

Keeps creating, copying and revoking team invites in one place.

Closing it resets the form, and every permission is switched on again next time you open it.

What they can do section

The permissions the new employee starts with.

Decides what the person will be able to do in the school.

Three areas: Classes & members, Payments and Organisation settings, each with a switch and Customise for single permissions. See the permissions article. Switch everything off and the employee starts with no permissions.

Groups they administer section

The groups the employee is assigned to when they join.

Decides which groups the new employee will manage.

A checklist of all the school's groups. Optional. While groups load: "Loading groups…"; with no groups: "This organisation has no groups yet." If a group is deleted in the meantime, the employee still joins, just without it.

If you pick Only their groups under Access to groups and tick no group, the employee won't see anything until you assign them to one.

Access to groups switch

Whether the permissions apply to all groups or only the employee's own.

Limits the employee to their own groups when needed.

All groups (default) or Only their groups. With Only their groups the See the whole calendar switch also appears. See the article on group access.

Settings section

The link's number of uses and validity.

Limits how many people can use the link and until when.

Number of uses: Single use (default), 5 uses, 10 uses, Unlimited or Custom (a whole number, at least 1). Valid for: No expiry (default), 24 hours, 7 days, 30 days or Custom date (today or later; valid to the end of that day). An invalid value keeps the section open and the button disabled.

Generate Link button

Creates the invite link.

Creates a new active link with the chosen permissions and groups.

On success it shows Your link is ready! with chips: Staff, a permissions summary (Full access, No permissions or the areas granted), the number of uses and validity. Then Copy, Share (on devices that support sharing), a hint about uses, and Generate another link.

Links for this organisation list

Every staff invite created.

Lets you see which invites still work and stop one.

It's collapsed, with the number of links by the heading. Each row shows a state (Active, Used, Expired, Revoked), creation date, validity, uses and the number of permissions ("5 permissions" or "No permissions"). Active links have a copy button and Revoke: which stops the link straight away, with no confirmation. With no links: "No staff links generated yet."

Frequently asked questions

Can I change the permissions on a link I already sent?

No. Revoke it and create a new one. Once the person has joined, you can change their permissions from their profile.

Can an employee invite another employee?
