How it works

Helps you collect charges on time without calling every parent. There are automatic overdue notices, plus manual reminders you send whenever you choose.

Automatic overdue notices. Every evening Classes looks for unpaid charges whose due date has passed and sends the payer an "Overdue charge" notification with the amount and the date it has been overdue since. A charge gets at most one a day and at most three in total, then the automatic notices stop, however long it stays unpaid.

Manual reminder. The Send reminder button, in the bulk action bar or the charge details, sends a notification with the amount and due date, titled "Upcoming charge" before the due date and "Overdue charge" after it. You can repeat it as often as you like, whatever the automatic notices have already sent. Reminders only go for unpaid charges; paid, waived and cancelled ones in a selection are skipped.

Reminders go to the person who pays, for a child, that's the parent. Every reminder sent, including the automatic ones, counts in Reminders sent in the charge details.

Packs have a separate "Renew your pack" notification when credits run out or the pack expires within 3 days, once per pack.

Good to know

You need the Send payment reminders permission.

The Remind button under Top debtors on the History tab doesn't work yet, use the Charges tab.

Each payer decides for themselves whether to receive these notifications, in their own notification settings (Charge Due Reminders).

On this screen

Overdue charge notification

The automatic notification to the payer when a charge becomes overdue.

Tells the payer the due date has passed without you doing anything.

Sent each evening after the due date, at most once a day and three times per charge, with the amount and the date it has been overdue since. It doesn't depend on staff permissions and can't be switched off from the Finance page. Each payer can turn it off for themselves in their own notification settings (Charge Due Reminders).

Manual charge reminder

Send reminder

The notification the payer gets when you press Send reminder.

Nudges the payer to pay a specific charge.

Contains the amount and "due by" the date, or "overdue since" the date if it has passed. It is titled "Upcoming charge" before the due date and "Overdue charge" after it. Can be sent for one charge from the details or for many at once from the bulk bar. On failure you see "Failed to send reminders. Please try again."

Payment recorded notification

The notification to the payer when staff mark their charge as paid in cash or by bank transfer.

Tells the payer their payment has been recorded, and gives them a chance to spot a mistake.

Sent with Mark paid, cash and Mark paid, bank (from the charge details or the bulk bar) and with Add payment. It contains the school name, the amount, the charge description and whether it was cash or bank transfer. For a child it goes to the parent. It isn't sent for online payments, because the payer paid themselves. Undoing a payment doesn't send another notification. The payer can turn it off for themselves in their notification settings (Recorded Payments).

Frequently asked questions

Will the parent get a notification every day until they pay?

No. The automatic overdue notice is sent once a day, at most three times per charge. After that, only the reminders you send by hand reach the parent.
