How it works
Shows the full story of one charge and lets you mark it paid, send a reminder, change the amount, waive or cancel it, undo a payment or delete it.
Press a row on the Charges tab and the panel opens at the side. What you see depends on the status:
- Unpaid charge: a price breakdown if a discount or correction applies; the number of reminders sent; a note about online payment; the Mark paid, cash, Mark paid, bank, Send reminder, Edit amount, Waive and Cancel charge buttons.
- Paid, waived or cancelled charge: payment date and method, or the reason; Undo payment (cash or bank payments only) and Delete charge (anything not paid online).
Each button only appears if you have its permission. Close the panel with X or by clicking outside it, but not while a form is open (such as a typed reason), so you don't lose what you wrote.

Header
The member's name, the payer and the group.
Shows who the charge is for.
For a child it reads "Paid by" and the parent's name, then the group or No group. The Close (X) button closes the panel.
Amount card
The amount, status, description and price breakdown.
Amount card
The amount, status, description and price breakdown.
Tells you how much is owed and for what, and why the amount differs from the plan price.
Shows the amount, the status label and the description (or plan name). For an unpaid plan charge with a discount or correction there's a breakdown:
- Base price: the plan price, struck through;
- Standing override: this member's own price on the plan, lower or higher, applied to all their charges on it;
- This charge only: a one-time correction made to this charge alone.
The payer sees the reasons you gave for a standing price and for a one-time correction on their own payments page, next to the base price.
For a waived charge it reads "Waived —" and the reason.
Dates card
Due date, issue date, reminders and payment.
Dates card
Due date, issue date, reminders and payment.
Shows when the charge was issued, when it's due and when and how it was paid.
- Due date: when it must be paid.
- Issued: when the charge was created.
- Reminders sent (unpaid only), for example "2× (last 3 Oct)" or None yet. The count includes manual reminders and the automatic overdue notices (up to three).
- Paid on (paid only), the payment date; if after the due date, it adds "Was overdue · paid Nd late".
- Paid via: the Online, Cash or Bank transfer label.
Online payment note
Says whether the payer can pay this charge online.
Online payment note
Says whether the payer can pay this charge online.
Helps you understand what the payer sees and whether to collect the money in person.
Only shown for an unpaid charge. With Stripe connected: "The payer sees a “Pay now” button, a successful online payment marks this charge paid automatically." Without: "No Stripe connected, the payer sees the amount and due date with in-person payment instructions. Everything here still works; only online pay is hidden."
Mark paid, cash and Mark paid, bank buttons
Mark paid, cash · Mark paid, bankMark the unpaid charge as paid in cash or by bank transfer.
Mark paid, cash and Mark paid, bank buttons
Mark paid, cash · Mark paid, bankMark the unpaid charge as paid in cash or by bank transfer.
Record that you received the full amount and add it to income.
Need the Record payments permission. Each one asks first, "Mark … as paid in cash? The payer will be notified." (or by bank transfer), and you choose Yes, mark as paid or Back. The payment is dated today. The amount is always the charge's full amount, partial payment isn't supported. After you confirm, "Charge marked as paid." appears, the panel stays open, and below it reads "Marked as paid. Wrong member? You can still take this back." with Undo and Done. The payer is notified that a payment was recorded (the Recorded Payments notification), and the owner and staff with the View financials permission who reach the charge's group get a "Charge paid" notification. If the charge is for a pack, paying it grants the credits.
Send reminder button
Reminds the payer about this charge.
Send reminder button
Reminds the payer about this charge.
Sends a notification with the amount and due date, or how overdue it is.
Needs the Send payment reminders permission. Sent at once; "Reminder sent." appears. The notification is titled "Upcoming charge" before the due date and "Overdue charge" after it. You can remind as often as you like, and it works whatever the automatic notices have already sent. The Reminders sent count goes up.
Edit amount button
Changes the amount of the unpaid charge.
Edit amount button
Changes the amount of the unpaid charge.
Corrects this charge alone, for example when a member missed part of the month.
Needs the Manage charges permission. Opens a form with New amount and Reason; press Save or Back. Every amount change is kept with its reason and who made it. The payer sees your reason on their own payments page, as "Reason the amount was changed", with the previous amount struck through.
If you later change the plan price or the member's discount, unpaid charges on that plan are recalculated, the manual correction is lost and the payer no longer sees your reason.
New amount field
The charge's new amount. Required.
New amount field
The charge's new amount. Required.
Replaces the current amount.
The hint shows the current amount. From €0.01 to €99,999.99; zero isn't accepted, to charge nothing, use Waive.
Reason field
Why the amount is changing. Required.
Reason field
Why the amount is changing. Required.
Leaves a record of why the amount differs, and tells the payer.
The hint reads "Why is this changing?". Up to 500 characters. The payer sees this text, so write it with them in mind. Without an amount or reason you see "Enter an amount and a reason."
Waive button
Waives the unpaid charge with a reason.
Waive button
Waives the unpaid charge with a reason.
Clears the debt while keeping the reason.
Needs the Manage charges permission. Opens Waive reason with the presets Sibling discount, Scholarship, Staff family, Sick month (selected by default) and Other…. Other… reveals a box for your own reason (up to 500 characters). Press Confirm waive or Back. "Charge waived." appears, the panel closes and the payer is notified. It can't be undone.
Cancel charge button
Voids the unpaid charge.
Cancel charge button
Voids the unpaid charge.
Stops the charge being owed, with no reason and no notification to the payer.
Needs the Manage charges permission. It asks "This charge will no longer be collectible. This can't be undone." Press Yes, cancel charge or Back. "Charge cancelled." appears and the panel closes.
Undo payment button
Puts a charge paid in cash or by bank back to unpaid.
Undo payment button
Puts a charge paid in cash or by bank back to unpaid.
Fixes a payment recorded by mistake, for example against the wrong member, without losing the charge itself.
Needs the Record payments permission. Shown on a charge paid by Cash or Bank transfer, at any time after payment, with the text "This payment was recorded by hand. Undoing it puts the charge back to unpaid and removes the payment from your totals." Right after Mark paid, cash or Mark paid, bank, the same action is the Undo button. The charge is owed again; "Charge put back to unpaid." appears. On failure you see "Couldn't undo. Showing the current state instead." and can retry. If the charge was for a pack, undoing it also removes the pack: lessons already taken from it become visits owed (Visits owed (no pack) under Pack balances), and are covered at once from another pack the member has, if any. The payer is not sent any notification about the undo. Not available for online payments.
Delete charge button
Removes a manually paid, waived or cancelled charge from the records.
Delete charge button
Removes a manually paid, waived or cancelled charge from the records.
Clears a charge that shouldn't exist at all, for example a manual payment recorded by mistake.
The server requires the Manage charges permission. Shown on a charge that isn't unpaid and wasn't paid online. It asks "This charge will be removed from the records. This can't be undone.", or for a paid charge "This charge and the cash/bank payment recorded against it will be removed from the records, including from your revenue totals." Press Yes, delete charge or Back. "Charge deleted." appears.
The button shows even without the Manage charges permission, but deleting then ends with "Failed to delete charge."
If the payment was right but the charge is on the wrong member, use Undo payment instead.
Frequently asked questions
Why can't I delete a charge paid online?
A real card transaction stands behind it, which Classes can't reverse. So such a charge can't be deleted and its payment can't be undone.
Can I delete an unpaid charge?
Not directly. Cancel it first with **Cancel charge**: **Delete charge** then appears in the panel.
