How it works

Gives you the reports for following your school's money: where it comes from, how it moves over time, and which debts have been sitting longest.

At the top are three cards with this month's payments by method. Next is the Monthly Income chart with a week, month or year choice. Then Receivables aging with debts grouped by days late, and Top debtors. The Pack balances table is at the bottom.

All figures only include completed payments and unpaid charges you have access to. An undone or deleted payment isn't counted.

Payment method cards

Paid online · Paid in cash · Paid by bank transfer

How much was collected this month online, in cash and by bank transfer.

Shows how members pay you and helps reconcile the cash box and bank account.

Each card shows the total of completed payments by that method since the start of the current calendar month, and a line such as "45% of October revenue · 12 payments". A card with no payments shows €0.00. Press a card to go to Charges with the Paid filter and that payment method selected.

Monthly Income chart

A chart of payments received by day or month.

Shows how income moves over time.

Adds up completed payments by payment date. The subtitle reads "Income trends for current year" whatever period is selected. Hovering a point shows the amount for that day or month.

Week, Month, Year buttons

Week · Month · Year

The chart's period choice.

Decides whether you see days of a week, days of a month or months of a year.

Week (default) shows the seven days, Monday to Sunday, of the week containing the chosen date. Month shows every day of the chosen month. Year shows the twelve months of the chosen year.

Chart date field

Select Week · Select Month · Select Year

Which week, month or year the chart shows.

Lets you look at past periods.

Defaults to today. With Week pick a day (DD/MM/YYYY), with Month a month (MM/YYYY), with Year a year (YYYY).

Receivables aging section

How much of what's owed is late, and by how many days.

Shows which debts have been sitting longest, "old debt is the debt you lose".

The subtitle gives the total amount outstanding. Unpaid charges are split into four bars: Not due yet, 1–7 days, 8–30 days and 30+ days overdue. Each bar shows the amount and number of charges; its length is relative to the largest amount.

Top debtors list

The five payers with the largest total unpaid amount.

Shows who to focus on first.

Groups unpaid charges by payer (for children, the parent) and shows the five with the largest amount. Under the name it reads "N charge(s) · D days late", where D is the longest delay among their charges. Only shown when there are unpaid charges.

Remind button

A button for reminding the debtor, not active yet.

Does nothing for now.

The button is grey and inactive; hovering shows "Needs a backend endpoint, tracked as a fast-follow". To remind someone, go to Charges, select their charges and press Send reminder.

Pack balances table

The credits on every pack in the school.

Shows who has how many visits, when their pack expires and who owes visits.

The subtitle reads "Credits count down when attendance is finalized, a visit without a pack goes below zero until the next pack is bought." Columns are Member, Plan (or Visits owed (no pack)), Credits as "remaining/total", Expires and Status. On a phone each pack is a card. With no packs it reads "No active pack balances for this organization."; on error, "Failed to load pack balances." with Try again.

For the Visits owed (no pack) row, the Expires column shows "31 Dec" even though that row never expires.
