How it works

Brings all of your school's money into one place: the charges members owe, the payments that have come in, and the plans charges are generated from. You work in the Charges, Plans and History tabs, and the Charges tab starts with four quick figures.

Open it from Finance in the side menu, in the school admin section. On a phone it usually has its own tab at the bottom of the screen. Only the owner and staff with the View financials permission can see the page, without it, the app sends you back to the school dashboard.

Each action needs its own permission: Manage charges (new charges, editing, waiving, cancelling, deleting, generating charges), Record payments (cash and bank payments and undoing them), Send payment reminders and Manage payment plans. Buttons you have no permission for are simply not shown.

The main buttons of a tab sit in the page header, on the right of the tabs: Add payment and New charge on Charges. On a phone they become round icon buttons in the bar at the top of the screen.

If your access is limited to certain groups, every total, list and chart only covers the charges and payments of those groups and of the members in them.

The selected tab is kept in the page address, so a refresh or the back button leaves you where you were.

Good to know

If you can't see the page, or it sends you back to the dashboard, ask the school owner for the View financials permission.

All amounts on the page are shown in euro (€).

On this screen

Figures at the top of Charges

Four cards with the key numbers about your school's money.

Show at a glance how much you are owed, how much of it is overdue, how much you collected this month and how many plans are active.

They sit under the tabs and only on the Charges tab; Plans and History don't repeat them. Every card is also a button: Outstanding and Overdue keep you on Charges and apply the Owed or Overdue filter, Collected this period opens History, and Active plans opens Plans. On a computer each card ends with a View link; on a phone the cards sit two by two and show a small arrow instead. While the numbers load, the cards show a grey placeholder instead of 0.

Outstanding card

The total of every unpaid charge right now.

Shows how much members owe your school as of today.

Adds up every charge with the Pending status, both those not yet due and those overdue. It is not limited to a month or period. The line below the amount says how many charges that is, such as "12 charges". Paid, waived and cancelled charges are not included. Press the card to see these charges: it applies the Owed filter on Charges.

Overdue card

The part of what you are owed whose due date has already passed.

Separates out the money that should already have been paid, the charges you most likely need to chase.

Adds up the unpaid charges whose due date is before today and shows how many there are underneath. The card is red because this is the real problem; Outstanding is amber because it also holds money that isn't due yet. Press the card to see these charges: it applies the Overdue filter on Charges.

Collected this period card

Every successful payment since the start of the current month.

Shows how much money has actually come into the school this month.

Adds up every completed payment dated from the first of the current calendar month until now, online, cash and bank transfer. The line below reads "Since the start of" and the month name. A payment you record by hand counts towards the month of the payment date you entered. An undone or deleted payment drops out of the total.

Active plans card

How many payment plans are billing members right now.

Shows how many plans are currently running compared with all the plans you have.

The large number counts plans that are enabled and not archived. The line below shows the total number of plans, including disabled and archived ones, such as "7 plans in total".

Page tabs

The switch between Charges, Plans and History.

Splits money work into three parts: individual charges, billing plans and reports.

The Charges tab opens by default. They are underlined text tabs under the top of the page, and on a narrow screen they share the width evenly.

Charges tab

The list of every charge in your school.

Where you create charges, record payments, send reminders and correct individual charges.

Shows the four figures, a table of all charges with filters and search, and, in the page header, the Add payment and New charge buttons. See the Charges tab article for details.

Plans tab

The payment plans charges are generated from.

Where you create and manage one-off, recurring and pack plans and their discounts.

Shows your plans as cards or rows, organised in categories, the archived plans and the Discounts section.

History tab

Reports on money received, how old your debts are, and pack balances.

Helps you see how income is moving and which debts have been sitting longest.

Contains the payment-method cards, the Monthly Income chart, Receivables aging, Top debtors and Pack balances.

Frequently asked questions

Why does my colleague see smaller totals than I do?

When a staff member's access is limited to certain groups, they only see the charges and payments of those groups and of the members in them, so their figures differ.
