How it works

Creates a group you then enrol or invite members into. Members are always enrolled into a group, so every school needs at least one.

You create a group from the New group button on the Groups page under Admin Actions. It needs the Manage groups permission.

In the Create Group window you enter a name and description, pick the staff member who will be the group's admin, the visibility and (if the school has categories) the category. A new group is Private by default, joining needs your approval until you make it Public.

After Finish the group shows up in the list straight away. The chosen staff member becomes its admin.

Good to know

A staff member whose group access is Only their groups can only create a group with themselves as admin.

The description is also used as the group's short summary, there is no separate summary field.

The Category field is hidden if the school has no categories yet.

On this screen

Create Group window

The form for a new group.

Collects everything needed to create a group.

Opens from New Group. Grey placeholder rows show while staff load. Closing it clears the form.

Name field

The group's name.

Members and staff recognise the group by it.

Required, 3 to 50 characters. Left empty it shows “Group name is required!”

Description field

A short text about the group, who it's for, when, what happens.

Helps people choose the right group.

Required, 3 to 300 characters. It shows on the group card (up to three lines) and on its page.

Select an employee field

The staff member who will be the group's admin.

Assigns the person in charge of the group when it is created.

Required. The list holds the school's staff with name and country. If the school has only one staff member, Group Admin with their name shows instead of a dropdown. The server checks that the chosen person is staff of the school.

Group Visibility field

The choice between a private and a public group.

Decides whether people join straight away or after your approval.

Two option cards:

  • Private: “Not listed publicly. People can only join once you approve them.” Selected by default.
  • Public: “Anyone can find it and join immediately, without approval.”

You can change it later from the group editor.

Category field

The folder the group will show in.

Files the group into the right folder on the Groups tab.

Optional. Only shown if the school has categories. Defaults to Uncategorised.

Finish button

Creates the group.

Saves the new group and closes the window.

While the group is being created the button is disabled and shows a spinner. On success the group appears in the list.
